QuickBooks, Shopify & Square: Make Them One System

Three great tools that each hold part of your business and none of the whole. What connecting them properly looks like, and why done-for-you beats duct-taping connectors.

Three good tools, one disconnected business

It is one of the most common setups in Canadian small business: Shopify or Square running your sales, QuickBooks running your books, and maybe a separate app for customers or bookings. Each is a strong tool. Together, though, they leave you as the middle layer, copying numbers from one into another and reconciling them by hand. Making them behave like one system is very doable. Here is what that actually involves, and why the way you connect them matters as much as whether you do.

What "one system" really means

Connected properly, a sale rings through Shopify or Square and its details flow into QuickBooks as the right kind of entry, against the right account, without anyone typing it. A new customer at checkout becomes a customer record you can actually use for follow-up. Inventory and totals line up across the tools because they are drawing on the same events, not three separate hand-entries. When it is working, your month-end stops being an archaeology dig and your numbers are trustworthy because nobody re-keyed them.

The goal is not "more software." It is that a thing that happens once, a sale, a refund, a new customer, is recorded once and shows up correctly everywhere it belongs.

The catch with off-the-shelf connectors

There are ready-made connectors that promise to link these tools, and for the simplest cases they help. The catch is that your business is not the generic case a connector was built for. Your chart of accounts, your tax handling, the way you treat refunds and discounts and fees, your particular mix of products, these are where a one-size connector either forces you to change how you work or quietly records things wrong in a way you only discover at tax time. Many owners end up duct-taping several connectors together and babysitting the seams, which is not the freedom they were sold.

A connection built around your actual setup is the difference between a link that survives contact with your real business and one that breaks the first time something is not standard. Done-for-you means the flows are mapped to your accounts, your rules, and your edge cases, tested against real transactions, and set up so an exception is flagged for a human rather than silently mis-booked. You are not left maintaining the plumbing. You get the outcome, a business where the tools agree, and someone else owns the wiring.
